How to run a customer needs analysis in 6 steps

From a defined scope to needs with owners and metrics

Process showing six steps of customer needs analysis: define scope, gather existing data, run research, pick question types, synthesize, act and measure
Scope the decision and mine the data you already have before you book a single interview.

A six-step process for customer needs analysis. Scope the customers, journey stage and decisions first, then mine the data you already have before running interviews, contextual inquiry or surveys. Structure questions so you can measure importance and satisfaction, synthesize into prioritized needs statements, and give each need an owner and a metric. Koji runs the interviews with AI moderation and mixes open questions with scales and rankings in one study.

What's in this process

  1. Define the scope: Which customers, which part of the journey, and which decisions the analysis will inform.
  2. Gather existing intelligence: Mine support tickets, product analytics, sales calls, NPS verbatims, review sites and competitors first.
  3. Conduct primary research: In-depth interviews with 8 to 15 customers, contextual inquiry, AI-moderated interviews, surveys or diary studies.
  4. Use the right question types: Open questions to find needs, scales for importance and satisfaction, choice and ranking questions for priorities.
  5. Synthesize and prioritize: Code themes, place needs on importance and satisfaction, split by segment and write JTBD-style needs statements.
  6. Act and measure: Give each need an owner, a planned change and a success metric, then schedule a follow-up check.
