Checklist

Research vendor checklist: terms buyers forget

Checklist of seven contract terms to agree with a research vendor, including raw data, IP ownership, participant quality controls and the named team.
These terms decide whether you get a research asset or just a PDF.

A seven-point checklist for contracting a research agency or vendor. Beyond price, agree who gets raw transcripts and recordings, who owns the instrument and findings, how participants are sourced and screened, whether your team can observe sessions, how participant data is handled, what re-analysis is included and who will actually run the sessions.

What's in this checklist

  • Raw artifacts: transcripts, recordings and the codebook, not only the report
  • IP ownership of the instrument, the screener and the findings
  • Participant sourcing, fraud screening and the disqualification rate
  • Stakeholder access to observe sessions live
  • Data handling: storage location, retention, subprocessors and DPA
  • Revision and re-analysis scope: included, or a change order
  • Named team: who actually runs the sessions, written into the SOW
