Reference table
Who often cannot accept a research incentive
The rules that most often block gift cards for interview participants, and what to offer instead

A reference table for researchers and customer success teams inviting people who may not be allowed to accept gift cards: US federal employees, UK civil servants, staff under corporate gifts policies, B2B customers and friends of the team. It sets out the usual rule and a fair alternative, from a donation option to no incentive at all. In Koji, participants can claim a reward as a gift card, a prepaid card or a charity donation.

What's in this reference table
| Participant | Typical rule | What to offer |
|---|---|---|
| US federal employees | Gifts up to $20 per occasion and $50 a year from one source, never cash | No incentive, or what their ethics office approves |
| UK civil servants, contractors and suppliers | DfE research guidance says not to use incentives | No incentive, and a summary of what changed |
| Staff under a corporate gifts policy | Gifts from vendors capped or needing approval | Ask first, then a choice of reward or donation |
| Your own B2B customers | Often bound by their employer rules on vendor gifts | A modest thank-you with a donation option |
| Friends and family of the team | DfE research guidance advises against paying them | Thanks, not money |
