Member checking course feedback in six steps
A light way to let students check the themes drawn from their feedback

A six-step process for sharing the themes from a course evaluation back with students and asking whether they were read correctly. It adapts member checking from qualitative research, including the synthesised approach described by Birt and colleagues, for quality assurance teams and programme directors. It also works as a way of closing the feedback loop. Koji reports each theme with links to the responses behind it, which makes the first step faster.
What's in this process
- Draft the themes: Analyse the feedback and write each theme in one plain sentence, with how many students raised it.
- Write it for students: A short summary in their language, not committee language. Include what you think it means.
- Share it with the cohort: Send it to everyone who was asked, or a mixed sample if the cohort is large.
- Ask pointed questions: What did we miss? What did we get wrong? Which theme matters most to you?
- Revise and record: Change the themes where students show you misread them. Note disagreements you keep.
- Say what will change: Publish the final themes with the actions you will take, and when.
