Checklist

Before you share de-identified student comments

Checklist of eight checks before sharing de-identified student comments, from deciding the policy on staff names to telling students what may remain
Run this pass before cleaned comments go to a teaching committee or panel

A checklist for quality offices and programme teams who remove names and contact details from open-text course evaluation comments. Automatic redaction catches most direct identifiers but leaves indirect ones, such as a tutorial group or a personal story, that can point to one student in a small cohort. Work through these checks before comments reach staff, committees or review panels. Koji can remove names, contact details and employers from each interview automatically, and this pass covers what is left.

What's in this checklist

  • Decide whether staff names should be removed or kept for the review
  • Scan comments for nicknames, initials and misspelt names the tool missed
  • Look for module codes, groups and dates that point to one student
  • Remove stories only one student in the cohort could tell
  • Check what the pre-interview form collected, as it is not cleaned
  • Share themes and short quotes with staff, not full transcripts
  • Hold back quotes from groups too small to hide in
  • Tell students what is removed and what may remain
