Brand Themes: Put Your Logo, Colours and Font on Every Interview

Create workspace brand themes in Koji with your logo, brand colour, corner style and typeface, preview them live, and apply them to any study so participants see your brand throughout text and voice interviews.

Brand themes let you put your own logo, brand colour, corner style and typeface on every Koji interview your participants see. You create a theme once in Workspace settings > Brand themes, watch a live preview as you build it, and then pick it for any study under Branding & Settings. Participants see your brand from the welcome screen through the end of the text or voice interview, and you can keep a separate theme for each client or product line. Brand themes are available on Enterprise plans.

This guide explains what a theme controls, how to create and apply one, how themes fit alongside your study's other customisation settings, and how agencies and multi-brand teams use them.

Why branding your interviews matters

When someone receives a research link, the page they land on has a few seconds to answer two questions: who is asking, and can I trust them? A generic page with an unfamiliar logo makes people hesitate. A page that looks like it comes from a company they already know feels like a natural continuation of that relationship.

Brand consistency also matters to the business commissioning the research. In The Impact of Brand Consistency (Lucidpress and Demand Metric, 2016), a survey of more than 200 senior marketing and brand leaders, respondents estimated that presenting their brand consistently was worth an average 23% increase in revenue. It is a self-reported estimate, not a controlled measurement, but it shows how seriously brand teams take every customer touchpoint, research included.

Traditional survey tools usually handle this with per-survey theme editors that you configure again and again. Koji's brand themes work at the workspace level: build the theme once, reuse it on every study, and change it in one place.

What a brand theme controls

Each theme has five parts.

Logo

Upload a PNG or WEBP file of up to 512 KB. Use a version with a transparent background so it sits cleanly on the welcome card. JPEG and SVG files aren't accepted. Once uploaded, use the size slider (from Smaller to Larger) to set how tall the logo appears.

Brand colour

Pick from the presets (Blue, Violet, Teal, Emerald, Amber and Slate), or choose Custom colour and enter your exact hex value. The brand colour styles buttons and other accents throughout the interview, including the participant's own message bubbles in a text interview.

Button text

Choose Auto, White or Black for the text on your buttons. Auto picks whichever is easier to read on your brand colour. If a choice would be hard to read, Koji disables it and tells you why, so your interview stays accessible.

Corners

A slider from Sharper to Rounder with five steps: Sharp, Subtle, Rounded, Soft and Pill. Pill applies to buttons; cards and inputs stop at Soft so they stay readable.

Typeface

Choose from System default, Inter, Geist, Roboto, Open Sans, Source Sans 3, IBM Plex Sans, Lato and Merriweather. Fonts are self-hosted, so loading them makes no requests to third parties.

Step by step: creating a theme

Step 1: Open Brand themes

Go to Workspace settings and choose Brand themes. You'll see how many themes you've created out of your limit. Enterprise workspaces can have up to 25 active themes.

Only workspace owners and admins can create and edit themes.

Step 2: Create a new theme

Click New theme. It starts as "Untitled theme", with the name ready to edit. Give it a name your team will recognise, such as the client or product it belongs to. Names can be up to 48 characters and must be unique in the workspace.

Step 3: Set your logo, colour, corners and typeface

Work through the fields above. A Preview panel next to the controls shows the real interview welcome card and updates as you go, before you save anything.

Step 4: Save

Click Save changes. The button only becomes active once something has changed.

Step 5: Choose a workspace default (optional)

Click Make default on the theme your workspace uses most. Any study set to the workspace default picks it up automatically. If you have no default, studies use the standard Koji appearance.

Step by step: applying a theme to a study

  1. Open the study and go to the Branding & Settings tab.
  2. Brand theme is the first section. Open it and choose a theme by name, or choose Workspace default to follow whatever the workspace default is.
  3. The change applies straight away. You'll see a confirmation that the brand theme was updated.

Any member of the workspace can choose a theme for a study they're working on, even though only owners and admins can create themes. That keeps your brand consistent: designers or ops leads own the themes, researchers just pick the right one.

If there are no themes yet, the section links straight to Create a theme.

What participants see

  • Welcome screen: your logo above the headline, with your colour, corners and typeface.
  • Text interviews: your colour on buttons and the participant's messages, plus your corners and typeface throughout.
  • Voice interviews: the same colour, corners and typeface on every control around the conversation.

Your theme is applied before the page is shown, so participants never see a flash of the default look. Your logo appears on the welcome screen rather than inside the conversation, which keeps the interview itself focused on the questions.

Interview pages are always light mode. Participants can't switch to dark mode, so your colours look the same to everyone, on every device.

How themes fit with your study's other settings

A brand theme sets the look. The words and some study-specific details stay per study, in the same Branding & Settings tab:

  • Texts & Translations: your headline, subheadline and description. See Customizing Branding and Interview Landing Page.
  • Interview Experience: settings such as the AI orb colour, which is set per study and isn't changed by the theme.
  • Remove Koji branding: a separate setting for hiding the Koji badge.

So a typical setup is: one theme per brand, applied to many studies, with each study writing its own headline and description.

Editing, archiving and deleting themes

Open a theme on the Brand themes page to edit it. Changes apply to every study using that theme.

  • Archive a theme you no longer need. Studies already using it keep their look, but it disappears from the picker for new choices. Archiving also frees up room under your limit.
  • Delete is only offered when a theme isn't used by any study. Otherwise, archive it instead.

Workflows brand themes enable

Agencies running research for several clients. Create one theme per client and pick the right one on each study. Clients' customers see their brand, not yours. Pair this with a separate team workspace per client if you also want separate billing and members.

Companies with several product brands. A theme per brand keeps a hotel group's or a software suite's research looking like each product.

Employee research. Use your internal brand so staff recognise the study as coming from HR or People, which helps participation in anonymous employee research.

Consistency without policing. Because themes are workspace-level and only owners and admins can edit them, nobody needs to check that each new study used the right hex code.

Availability

Brand themes are part of the Enterprise plan. On other plans, studies use the standard Koji appearance and the Brand theme section doesn't appear; talk to Koji to switch brand themes on as part of Enterprise. See the Plan Comparison Guide for what each plan includes.
