Editing Your Profile

Update your name, company, role, and avatar in your Koji account profile.

Editing Your Profile

Your profile in Koji controls how you appear to team members and within your projects. You can update your name, company, role, and avatar at any time from the account settings page.


Accessing Your Profile

To open your profile settings:

  1. Click your avatar or initials in the bottom-left corner of the Koji dashboard.
  2. Select Account Settings from the menu.
  3. You will see the Profile tab by default.

Alternatively, navigate directly to the account settings page from the gear icon in the sidebar.


Profile Fields

Your profile includes the following fields:

Display Name

This is the name shown to team members across the Koji platform. It appears in project activity feeds, comments, and interview attribution. Use your real name so colleagues can easily identify you.

To update your name:

  1. Click the Display Name field.
  2. Type your new name.
  3. Click Save Changes.

Company

Your company name helps Koji personalize the experience and is used in team-related features. If you work with multiple organizations, set this to your primary organization.

To update your company:

  1. Click the Company field.
  2. Enter your company name.
  3. Click Save Changes.

Role

Your role describes your position within your organization. Common roles include Product Manager, UX Researcher, Designer, Founder, and similar titles. This information is used to tailor certain aspects of the platform experience and appears on your profile within team views.

To update your role:

  1. Click the Role field.
  2. Enter your title or role.
  3. Click Save Changes.

Avatar

Your avatar is the image displayed next to your name throughout the platform. A good avatar helps team members quickly identify you in collaborative contexts.

To update your avatar:

  1. Click on your current avatar image (or the default initials circle).
  2. Select an image file from your computer. Supported formats include JPEG, PNG, and WebP.
  3. Crop the image if needed using the cropping tool.
  4. Click Upload to save.

The recommended avatar size is at least 200x200 pixels. Larger images are automatically resized. Square images work best since avatars are displayed in a circular crop.


Email Address

Your email address is displayed on the profile page but cannot be changed directly from the profile editor. Your email is tied to your authentication method. If you need to update your email address, this may require updating your sign-in method.

Your email is used for:

  • Account recovery and security notifications
  • Team invitations and project notifications
  • Billing receipts and plan change confirmations

When Profile Changes Take Effect

Profile updates take effect immediately. The next time you or your team members load any page in Koji, the updated information is displayed. There is no delay or approval process.

Note that changes to your display name or avatar may take a moment to propagate across all active sessions if you have Koji open in multiple tabs.


Profile Visibility

Your profile information is visible to:

  • Team members in any organization you belong to
  • Project collaborators who share projects with you

Your profile is not visible to:

  • Interview respondents. Respondents see the project branding and interviewer persona, not your personal profile.
  • The general public. Koji does not publish user profiles publicly.

This means you can customize your profile for internal team collaboration without worrying about how it appears to external parties.


Tips for a Good Profile

  • Use your real name. This helps team members find and recognize you quickly.
  • Upload a clear photo. A recognizable avatar makes collaboration smoother, especially in larger teams.
  • Keep your role current. If your title changes, update your profile so team-related features stay accurate.
  • Set your company name. This is especially helpful if you collaborate across multiple organizations.

Deleting Your Account

If you want to delete your Koji account entirely, this is a separate action from editing your profile. Account deletion is permanent and removes all your personal data, project ownership, and team memberships. To request account deletion, look for the option at the bottom of the Account Settings page or contact support.

Before deleting your account, consider:

  • Transferring ownership of any projects you own to a team member.
  • Downloading any data or exports you want to keep.
  • Informing collaborators who rely on shared projects.

Troubleshooting

Avatar upload fails

Make sure your image file is under 5MB and in a supported format (JPEG, PNG, or WebP). If the upload continues to fail, try a different browser or clear your browser cache.

Changes not appearing

Profile updates are instant but may require a page refresh to appear in all tabs. Hard refresh with Ctrl+Shift+R (Cmd+Shift+R on Mac) if changes are not visible.

Cannot change email

Email changes are managed through your authentication settings, not the profile page. If you need to change your email, check your sign-in settings or contact support.
